And so, our team has thoughtfully crafted an experience for you to stay safe and well during your next visit. We have partnered with top experts to implement new standards of safety and enhanced operational protocols and procedures which are among the most stringent in the hospitality industry, validated under the new global ALLSAFE Cleanliness label. We anticipate that our guidelines and protocols will evolve based on the recommendations of public health authorities but we will always be in compliance with any federal, state and local ordinances.

As we’d like to assist you in planning your stay, we must inform you that incoming trans-Pacific travelers visiting the state of Hawaiʻi will need to have a negative COVID-19 test result in hand before departure for Hawaiʻi if they want to bypass the 14-day self-quarantine. To understand how the pre-testing travel process works, please refer to the County of Hawaiʻi website for the most up to date information: www.hawaiicounty.gov/travel. The state of Hawaiʻi has also produced a list of questions and answers regarding the pre-testing program, which you may view at hawaiicovid19.com. plan your unforgettable meetings and events. We have partnered with top experts, invested in research, enforced new standards of safety and rolled out enhanced protocols & procedures which will address our new reality.

ADVANCE PLANNING

Fairmont Orchid has a long-standing tradition of setting new benchmarks and today is no different. Your event begins the moment you connect with our team to begin dreaming of your special gathering. We will work with you to review attendee capacities, floorplan diagrams, a timeline of breaks, registration
procedures and identify entry points. We will suggest signage and physical distancing markers to keep traffic moving and we will monitor gatherings to meet safety protocols that must be enforced to ensure safe meetings. We will equip you with the tools you need to give your attendees confidence that they can look forward to enjoying your event in a safe environment.

ARRIVAL

To ensure the health and safety of all attendees, they will be directed through
approved meeting/event entry points during which time they will receive a mask and gloves. Signage and floor decals at the entrance of each function space will guide guests to honor physical distancing protocols. Out of house guests will be offered the same “wellness kit” that in house guests receive, consisting of hand sanitizer, disinfectant wipes and an emergency guide for Fairmont Orchid. Hand sanitizing stations will also be situated at all event space entry points and key meeting spaces—including the foyers and the lobby.

CLEANING PROTOCOLS

We have elevated our already stringent cleaning practices and our dedicated banquet staff will be given a cleaning check-list to ensure that surfaces are thoughtfully sanitized during each event. Our team will also disinfect all high-touch areas before each new event takes place—this includes door knobs, door handles, door push bars, lights and control panels. Meeting rooms will remain locked when not in use; china, glass & silverware will be washed at a high temperature; linens will be eliminated from any food & beverage setups when possible; and staff will be required to wear latex gloves throughout any
interaction with equipment.

MEETING FLOORPLAN & TABLE SETUP

We will review design options so that setups adhere to physical distancing protocols. We anticipate our guidelines will evolve health authorities and we will be sure to keep you informed of any updates. We will follow physical distancing guidelines as we rearrange furniture, augment aisles and plan
room layouts. To further ensure safety and sanitation, we will eliminate individual pads/pens, candies and water pitchers for meeting setups (with the exception of single water servings).

FOOD & BEVERAGE SERVICE

We have thoughtfully redesigned our menus to ensure you receive exceptional service, high quality food & beverage options and safety assurances while honoring physical distancing protocols. All service staff will wear masks and
gloves and plated menus will be delivered with a plate cover. Attendants will assist with coffee breaks and offer pre-packaged food options to guests to minimize contact. For the time being, buffets and self-serve options have been
suspended. However, as recommendations of public health authorities change, we will be sure to adjust your food & beverage service options accordingly.
